Backup & recovery

Backups you’ve actually seen restore

Almost every business believes it has backups. Far fewer have tested one recently. We set up automated, encrypted backups of everything that matters, check them every day, and prove they work with regular test restores. When the worst happens, recovery is a plan, not a panic.

How it works

Three copies, two kinds of storage, one kept offsite

The 3-2-1 rule is the backbone of every backup we design. Your live data, a local copy for quick restores, and an encrypted offsite copy that fire, flood, theft or ransomware on your premises can’t touch.

Backups run automatically, every result is monitored by our team, and failures are fixed the same day, not discovered months later when you need them.

  • Servers and NAS drives backed up with image-level recovery
  • Microsoft 365 email, OneDrive, SharePoint and Teams backed up independently of Microsoft
  • Laptop files kept in OneDrive or SharePoint, so a dead laptop loses nothing
  • Versioned restore points, so you can go back to before a problem started

A hard truth

A backup you haven’t tested is just a hope

Backups fail quietly. A disk fills up, a password changes, a new folder never gets added to the schedule. The first anyone hears of it is on the day they need a file back.

That’s why every backup we manage is checked daily and test-restored on a schedule, with the results recorded so you can see them.

What we protect

If your business would miss it, we back it up

  • Servers & NAS

Whole-system images, so a failed server can be rebuilt or run elsewhere quickly.

  • Microsoft 365

Mailboxes, OneDrive, SharePoint sites and Teams chats, with point-in-time restore.

  • Line-of-business apps

Accounts, practice-management and CRM databases, backed up consistently.

  • Laptops & desktops

Work files redirected to the cloud, so any device can be replaced in hours.

When you need a file back

From “I’ve deleted it” to “got it back”

Most restore requests are small: one file, one folder, one email. Here’s how they go.

  1. Step 1

    Tell us what’s missing

Call, email or raise a ticket with the file name, rough location and when you last saw it.

  2. Step 2

    We find the right version

We pick the restore point from just before it was deleted or changed.

  3. Step 3

    Restored alongside

It comes back next to the current version, so nothing is overwritten by mistake.

  4. Step 4

    You check it

We confirm it’s the version you needed before closing the ticket.

  5. Step 5

    Cause looked at

If it was a sync issue or a permissions mistake, we fix that too.

FAQ

Backup and recovery questions

Can’t see your question? Call 01843 482 279 or email hello@squareoneit.co.uk. You’ll get a straight answer from an engineer.

Isn’t OneDrive or Dropbox a backup?

Not on its own. Sync services copy changes everywhere, including deletions and ransomware encryption. They’re great for access and version history, but a proper backup keeps separate, independent copies you can restore from even if the synced data is damaged.

How often are backups taken?

It depends on how much data you could afford to lose. Servers are typically backed up at least nightly and often several times a day, and Microsoft 365 is backed up multiple times daily. We agree the schedule with you.

Where is our backup data stored?

Offsite copies are encrypted and stored in secure data centres. We’ll confirm the location and retention period as part of your set-up, including keeping data in the UK where that matters to you.

Would backups protect us from ransomware?

They’re your last line of defence. Offsite, versioned backups that ransomware can’t reach let you restore to a clean point without paying. Combined with endpoint protection and MFA, they make a successful attack far less likely and far less damaging.

Is backup included in your managed IT plans?

Microsoft 365 backup, backup monitoring and routine test restores are included from the Business plan upwards. Server and BCDR solutions are scoped and priced to fit your systems.

Would your backups survive a bad Monday?

We’ll review what’s backed up, what isn’t, where copies are stored and how long a real recovery would take. Free, with a written summary.
