Microsoft 365, set up the way it should have been
Most businesses use a fraction of what Microsoft 365 can do and pay for more than they need. Security settings are left at their defaults, and files end up scattered across inboxes, desktops and personal OneDrives. We tidy it up, lock it down and keep it that way.

The common story
Paying for Microsoft 365 isn’t the same as having it set up
We regularly find the same things in small-business tenants: licences still assigned to people who left months ago, a mix of plans nobody chose on purpose, no multi-factor authentication on the director’s account, and a shared mailbox everyone logs into with one password.
None of it is anyone’s fault. Microsoft 365 is easy to buy and surprisingly hard to configure well. That’s the part we take on.
What we manage
Every corner of Microsoft 365, looked after
-
Licensing
The right plan for each person: Business Basic, Standard or Premium. Reviewed as your team changes so you never pay for empty seats.
-
Security & identity
MFA, conditional access, admin roles, risky sign-in alerts and Defender settings configured to a sensible baseline, then maintained.
-
Exchange email
Mailboxes, shared mailboxes, distribution lists, SPF/DKIM/DMARC and mail-flow rules that stop spoofing of your own domain.
-
Teams & SharePoint
A tidy structure of teams, channels and sites, with permissions that make sense, so people can find files and share them safely.
-
Devices with Intune
Laptops and phones enrolled, encrypted and configured automatically. New starters sign in and everything is ready.
-
Backup & retention
Independent backup of email, OneDrive, SharePoint and Teams, plus retention policies that match your obligations.
One place for everything
Files, email and calls in one secure place, wherever people work
Done properly, Microsoft 365 becomes the backbone of the business. Documents live in SharePoint and Teams, not on individual laptops. Everyone signs in once, securely, from the office, home or a client site. A lost laptop is an inconvenience rather than a data breach.
We design that structure around how your business actually works: by department, by client or by project. Then we migrate your files into it without breaking links or losing permissions.
Migrations
Moving to Microsoft 365, or tidying up the one you have
Whether you’re coming from Google Workspace, an old Exchange server or a tangle of personal accounts, the approach is the same.
-
1
Audit
We map mailboxes, files, shared drives, licences and who needs access to what.
-
2
Design
A clean structure for Teams and SharePoint, security baseline and licence plan, agreed with you.
-
3
Migrate
Email and files move in the background, with a planned cut-over, usually overnight or at a weekend.
-
4
Settle in
Short training for your team, a clean-up of old systems and a check-in once everyone has settled.
FAQ
Microsoft 365 questions
Can’t see your question? Call 01843 482 279 or email hello@squareoneit.co.uk. You’ll get a straight answer from an engineer.
Which Microsoft 365 plan does my business need?
For most small businesses, Microsoft 365 Business Standard covers email, the desktop Office apps, Teams and SharePoint. Business Premium adds Intune device management and stronger security features such as conditional access and Defender for Business, and it’s what we usually recommend for firms handling sensitive data. Some staff may only need Business Basic. We’ll mix plans to fit each role.
Doesn’t Microsoft back up our data already?
Microsoft keeps its service running and holds deleted items for a limited time, but it isn’t a backup in the sense most businesses expect. If a file is deleted, overwritten or encrypted by ransomware and nobody notices for a while, it can be gone. An independent backup gives you point-in-time restores for email, OneDrive, SharePoint and Teams.
Can you buy our Microsoft 365 licences?
Yes. As a Microsoft Partner we can supply and manage licences, which makes changes as your team grows or shrinks quick and keeps billing in one place.
How long does a migration take?
A small office of 5–20 people is typically planned and completed within a few weeks, with the actual cut-over happening overnight or over a weekend. We’ll give you a timeline after the audit.
Is Microsoft 365 management included in your IT support plans?
Yes. Microsoft 365 management is included in every managed IT plan, with Microsoft 365 backup included from the Business plan upwards.
