AI & automation
AI that saves hours, not just headlines
Your team is already experimenting with AI, often by pasting business data into free tools nobody has checked. We help you adopt AI properly: the right tools, set up securely, pointed at the repetitive work that eats your week, with a person still in charge of every decision that matters.

Where it helps
Everyday work that AI and automation do well
The best candidates are tasks that are frequent, rule-based and dull. Here are the ones we see most in small businesses.
-
Inbox triage
Sort enquiries, draft replies and route requests to the right person or team.
-
Documents & data entry
Pull details from invoices, forms and PDFs straight into your systems.
-
Meetings
Summaries, actions and follow-up emails from Teams meetings, drafted automatically.
-
New starters & leavers
Accounts, licences, groups and equipment requests triggered from one form.
-
Reporting
Weekly figures gathered from several systems into one report, without copy and paste.
-
Finding things
Ask Copilot where the latest version of a proposal is, or what was agreed with a client.
Microsoft Copilot
Copilot works best on a tidy Microsoft 365
Microsoft 365 Copilot can only see what the person using it can see. If permissions are loose, it will happily surface the HR folder or last year’s salary spreadsheet. Before switching it on, we review sharing and permissions, tidy up SharePoint and Teams, and set sensible data protection.
Then we help your team use it well: practical prompts for their actual jobs, not a generic demo.
- Readiness check: permissions, sharing and licensing
- Pilot with a few enthusiastic users first
- Role-based prompt guides and short training
- Measure the time saved before rolling out further
Copilot readiness
Example 18-user business
- Overshared SharePoint sites 3 found
- Sensitivity labels Configured
- Copilot licences Pilot · 4 users
- Acceptable use policy Agreed
Safe by design
Your data stays yours, and a person stays in charge
We favour tools that keep your data inside your Microsoft 365 tenant and don’t use it to train public models. We write a simple AI use policy with you, so staff know which tools are approved and what shouldn’t be pasted anywhere. Every automation that moves money or makes a decision has a human approval step.

FAQ
AI and automation questions
Can’t see your question? Call 01843 482 279 or email hello@squareoneit.co.uk. You’ll get a straight answer from an engineer.
Is Microsoft 365 Copilot worth it for a small business?
For people who spend much of their day in email, documents and meetings, it can save meaningful time. It isn’t for everyone. We usually recommend a pilot with a few users to measure the benefit before buying licences for the whole team.
Is it safe to use ChatGPT at work?
It depends on the version and what’s pasted into it. Free consumer tools may use what you enter to improve their models. We recommend approved business versions, a clear AI use policy, and never entering client personal data into unapproved tools.
Do we need a developer to automate things?
Usually not. Many small-business automations can be built with Power Automate and the connectors your existing software already provides. We build and maintain them for you.
What does an automation project cost?
Small automations are often a few hours’ work. We quote each one up front, with the time it should save, so you can see the payback before you commit.
What would you do with five extra hours a week?
Book a short workshop and we’ll identify the tasks worth automating in your business, with honest estimates of time saved.
